AskFlow integrates with Google Sheets, allowing the system to pull spreadsheet data for use in your workflows.
Learn how to perform this integration below.
How to set up Google Sheets correctly
- Share the spreadsheet with the following email: sheets-api@sheets-api-424119.iam.gserviceaccount.com
- Every spreadsheet must include the fields below for AskFlow to identify the same contact across different sources like chat, PMS, CRM, etc.:
- Phone number - Ensure the phone number is formatted as: country code + area code + phone number, with no spaces or symbols.
- Name
How to integrate Google Sheets with AskFlow
- Go to the integrations menu.
- Click on the Google Sheets integration.
- Click “Add connection”.
- Fill in the “name” field with the file title.
- Click “Save”.
- Click "Add trigger".
- Name the trigger, such as “Get data from sheet X”.
- Select the "Get data from spreadsheet" event.
- Select the connection that was created in the previous step.
- Set up how often AskFlow should get data from the spreadsheet.
- In the "Parameters" section, next to "Spreadsheet ID", paste the part of the file link that is between: https://docs.google.com/spreadsheets/d/>>>>> 1EOA8tfIUmt4Xp3k…6RmumkVOry0 <<<<</edit…
- In the field next to the “Spreadsheet tab”, select the tab from which the information should be retrieved.
- Click "Continue".
- Verify the Name, Email, and Phone fields are mapped correctly by comparing the two columns, as shown below.
- To add new fields to AskFlow's database that match the spreadsheet columns, scroll down and click "Add."
- Enter the field name. We recommend adding a data source prefix for easier identification in the workflow editor. Example:
- Select the info type (e.g., date, number, email, text).
- Click “Save”.
- Finally, select the spreadsheet column that corresponds to the newly created contact field.
- Repeat the process until all fields in the spreadsheet have been mapped.
Note: If a field on the left has no matching column in the spreadsheet, the right field will show "Select an option." Example below:
- Click “Save”.
Note: After integrating the spreadsheet, do not change column names. If you add new columns, create and map new fields, starting from step 16.
All set! AskFlow will now pull data from Google Sheets. Remember to update workflows in the editor to use the new data. 😉
