When travelers interact with our virtual assistant, also known as a chatbot, they can search for available dates, view accommodations and their prices, and then complete the reservation directly in the hotel's booking engine. Reservation tracking occurs through the creation of a unique discount coupon or promotional code within the booking engine. This code will be automatically added by the Asksuite robot during traveler interactions.
The process is simple: every time a traveler clicks on Book Now after an interaction with the robot, the Asksuite system communicates with the booking engine, automatically inserting the promotional code into the traveler's reservation. This way every reservation made through the virtual assistant is recorded and linked to the Asksuite robot and the internal system of the booking engine.
With this integration, you will be able to analyze and measure the conversion results of reservations made through your virtual agent directly in the booking engine's metrics. Additionally, by using promotional codes in Asksuite, you can create marketing strategies to promote your robot in special campaigns and seasons.

⚠️ Important: It is essential that this code be exclusive to the chatbot. In other words, it is not recommended to use a code that is already in use, as this could result in mixing internal and external data with Asksuite.

Can the coupons be registered in hotel networks or groups?
The integration of a promotional code can also be done in hotel networks. In this case, you could follow one of our suggestions below:
- Create only one code that can be applied to all units.
- Create one code for each unit.
Either way, the process is the same: create the code(s) and register them in your company's questionnaire in the Administrative Panel.
Suggestions of use
- The code does not need to be publicly disclosed; it's exclusively for travelers who are assisted by the robot
- The code does not need to have a discount value.
- If you prefer, you can apply some percentage of discount to create and promote special deals with your chatbot.
With a single code, you can identify all reservations closed through your robot's assistance and use it as an extra instrument for implementing new sales strategies.
Good practices
To get the maximum benefit from reservation tracking, here are some of the best practices our hotel clients can follow:
- Personalize the promotional code: When creating the promotional code in the booking engine, we recommend personalizing it make the identification of conversions easier in internal reports. For example, you can use something like "ASKSUITE2023" to indicate that the reservation was made through the Asksuite robot in 2023.
- Monitor performance: Regularly track the performance of reservations originated by the robot. Use analytic and reporting tools to assess the impact of the virtual assistant on your reservation conversions. These insights can help you optimize your strategy and improve the traveler's experience.
- Offer special incentives: Take advantage of reservation tracking to offer special incentives to travelers who use the virtual assistant. For example, you can create exclusive discounts for travelers who booked with the robot.

First, you need to create a specific coupon for your bot in the booking engine. How about "ASKCOUPON"?

Access your Administrative Panel.

Navigate to the Reservations section.

Look for the option Want to track your sales and/or offer a discount on reservations made through the robot? We suggest using the shortcut CTRL+F with the term "coupon" for a faster location of the field.

Now just click Save and you're done. Your code will be automatically applied to the quotes made by travelers.
